Jane is looking forward to starting her job next week at your organization. And since she stood out among the field of qualified candidates, you’re excited for her to start as well. The question, however, is—are you ready? After all, you only get one chance to make a first impression.
Different Departments, Different Systems
At a minimum, HR, IT, Security and Facilities are involved with any on/off boarding process. Yet, these groups tend to work so independently that much of the onboarding process is managed via emails or through multiple disjointed systems and the chances that something will fall through the cracks is high as a result. While a few missteps or minor inconveniences might not seem like a big deal for someone that’s just joining the organization, some of these can also turn into bigger obstacles very quickly. And if the offboarding process is fumbled, your organization could be exposed to some major security risks. For these reasons and more, a single-platform approach to Enterprise Service Management (ESM) is the way to go.
The Advantage of One Platform for ESM
The problem often starts in IT when a request is entered to create accounts, assign permissions and licenses from both HR and hiring managers; IT must then scramble to complete these tasks and a frustrated end-user will sit waiting for access for days, and sometimes weeks. Often there is a major lag in time. Approvals are often stuck along the way and nobody knows the status of the request. This can all be avoided if HR has a proper tool to manage the workflow and track these requests because, and they’ll know exactly who to contact if something gets stuck along the way. Automatic tracking and escalation can assist HR in knowing where certain actions are and all of this is very visible on a centralized dashboard for executives.
Imagine that HR, Facilities and IT are on one platform. A simple request such as “onboard Jane” can start with the hiring manager and then that request can initiate a workflow that goes in multiple directions simultaneous, but is all managed from a single point with global visibility.
