Most businesses keep data of some sort. When your business gets too much data to manage with paper and pen, it’s time to get some software to help.

What is a Database?
A database is a collection of data and the structure that it is organized into. For some casual users, a database can be as simple as a one page spreadsheet or as complicated as millions of entries in a database management program. The structure of a database, likewise, can be as simple as numbered entries in numerical order or as complicated as multiple linked sheets across different servers with searchable functionality. Databases allow people to record, retrieve and manage large amounts of information in an organized way.

What is Database Management Software?
This software performs many functions. It coordinates data, often collecting it from multiple forms of input, and organizes it into whatever form is most convenient for the user. It allows multiple users to access the database while protecting the data from theft or corruption. There are database management programs that are industry-specific, such as membership or mailing list management database programs, and there are more general database management programs that can be used for a variety of applications. There are some very basic programs that are available for free as “shareware” and there are more professional programs available for sale.

What to Look for in Software to Manage a Database
What sort of software you need to manage your database depends on the sort of data you’re collecting. If you have a very specific need for one type of database, maybe you should be looking at a specialized, industry-specific management system. If you actually have several different data management needs within your company, a more general type of database management software may be more appropriate. If your database is complex, you may want a server-based program, while a smaller or simpler database could be managed from a desktop.

Whatever software you choose should have data encryption technology to protect your data from being hacked. It should also be able to be customized to your needs, be frequently updated and have good support readily available, preferably 24/7. Of course, for many companies the deciding factor is cost, so have a clear idea of what you’re looking to spend before you begin your search.

If you need software to manage your database, your search should begin and end with a visit to Quality Software Systems, Inc.
